Document Controller
Job Description Roles & Responsibilities Job Title: Document Controller Main Duties & Responsibilities Manage and maintain all incoming and outgoing project documents, correspondence, and records. Ensure all documents are properly logged, categorized, filed, and archived according to company procedures. Maintain document control registers, tracking logs, and filing systems for: o Drawings o Technical submittals o Material submittals o RFIs o Shop drawings o Method statements o Inspection requests o Contracts and correspondence Distribute approved documents to relevant departments, consultants, clients,subcontractors, and site teams. Monitor document revisions and ensure only the latest approved versions are in circulation. Coordinate with project managers, engineers, procurement team, consultants, and subcontractors regarding document submissions and approvals. Prepare transmittals for document submissions and maintain accurate records of all submissions. Follow up on pending approvals, comments, and document status updates. Ensure confidentiality and security of all company and project documents. Assist in preparing reports related to document control activities and project documentation status. Organize and maintain both electronic and hard copy filing systems. Support project teams during tendering, execution, and handover stages. Prepare final project documentation and close-out files upon project completion. Ensure compliance with company standards, ISO procedures, and project requirements. Assist administrative and project teams with general coordination and documentation support when required. Desired Candidate Profile Skills & Requirements Proficient in: o MS Office o Excel o Document control systems/software o PDF editing software Good knowledge of document management procedures and filing systems. Ability to read and understand technical and construction documents. Strong organizational and time management skills. Excellent attention to detail and accuracy. Good communication and coordination skills. Ability to work under pressure and manage multiple tasks simultaneously. Knowledge of construction and fit-out documentation processes is preferred. Qualifications Diploma or Bachelor’s Degree in Business Administration, Engineering, or related field. Minimum 4 years of experience as a Document Controller in construction, civil, MEP, or fit-out projects. Experience in handling project documentation for contractors or consultants is preferred.
