Document Controller - Fitout
Job Description Roles & Responsibilities Manage, maintain, and control all project documents, drawings, submittals, RFIs, transmittals, and correspondence. Establish and maintain an organized document control system for multiple interior fit-out projects. Receive, register, distribute, and archive project documents in accordance with company procedures. Track document revisions and ensure only the latest approved versions are circulated to project teams. Prepare and maintain document registers, logs, and trackers for drawings, material submittals, shop drawings, and technical submissions. Coordinate with Project Managers, Site Engineers, Consultants, Clients, and Subcontractors regarding document submissions and approvals. Ensure timely submission and follow-up of material submittals, shop drawings, and technical documents. Maintain both electronic and hard copy filing systems with proper version control. Support project teams in preparing project close-out documentation, handover files, and as-built records. Generate periodic reports on document status, pending approvals, and submission trackers. Ensure confidentiality, accuracy, and compliance with company document control procedures. Assist in maintaining ISO documentation and quality management records, where applicable. Desired Candidate Profile Bachelor's Degree or Diploma in Business Administration, Engineering, or a related field. Minimum 3–5 years of UAE experience as a Document Controller in Interior Fit-Out, Joinery, or Construction projects. Interior Fit-Out experience is mandatory. Strong knowledge of document control procedures, transmittals, RFIs, material submittals, and shop drawing workflows. Experience handling consultant and client documentation throughout the project lifecycle. Proficiency in Microsoft Office (Word, Excel, Outlook) and document management systems (Aconex, Procore, EDMS, or similar) is preferred. Excellent organizational skills with strong attention to detail and accuracy. Ability to manage multiple projects and prioritize deadlines effectively. Strong communication and coordination skills. Ability to maintain confidentiality and work in a fast-paced environment. Immediate joiners or candidates with short notice periods will be preferred.
