Job Description Roles & Responsibilities Manage complex calendars, ensuring optimal scheduling of meetings and appointments while anticipating potential conflicts. Act as the primary point of contact between the executive and internal/external stakeholders, facilitating effective communication. Prepare detailed reports, presentations, and correspondence, ensuring all materials are polished and professional. Conduct thorough research on various topics to support decision-making processes and strategic initiatives. Coordinate travel arrangements, including itineraries and accommodations, while ensuring a seamless travel experience. Handle confidential information with discretion, maintaining the highest level of integrity and professionalism. Organize and prioritize incoming requests, ensuring timely responses and follow-ups to keep operations running smoothly. Assist in project management tasks, tracking progress, deadlines, and deliverables to support team objectives. Manage office supplies and equipment, ensuring availability and functionality to create an efficient work environment. Facilitate team events and meetings, including logistics, agenda preparation, and post-meeting follow-ups to enhance team collaboration. Desired Candidate Profile Minimum of 3 years of experience in a fast-paced administrative role, showcasing adaptability and resilience. Proficiency in Microsoft Office Suite and project management tools, ensuring efficient task execution. Excellent communication skills in English, with additional language proficiency considered a strong asset. Strong organizational skills, with a proven ability to manage multiple tasks and prioritize effectively. Demonstrated ability to maintain confidentiality and handle sensitive information with discretion. Familiarity with digital collaboration tools, enhancing remote working capabilities and team connectivity. Ability to work independently, taking initiative and showing resourcefulness in problem-solving situations. Strong attention to detail, ensuring accuracy in all tasks and communication. Positive attitude and a proactive approach, contributing to a dynamic and collaborative work environment.
