Project Coordinator - Mechanical Designing/CAD

Job Description Roles & Responsibilities Prepare Material Take-Offs (MTOs) based on project specifications, P&IDs, isometrics, and engineering drawings. Support the preparation of technical submittals, commercial and technical proposals, pre-qualification documents, and tender packages. Gather and compile data required for proposal development, including material specifications, cost estimates, scope definitions, and schedule inputs. Coordinate with engineering, procurement, and production teams to collect accurate information for proposal preparation. Assist the design team in developing drawings, schematics, and spool manufacturing packages. Ensure timely updating, revision, and modification of drawings based on design changes, site requirements, client comments, and internal review cycles; coordinate with design and engineering teams to identify when and where drawing updates are required. Maintain proper document control and ensure updated files are accessible to all stakeholders. Coordinate with planning, procurement, QC, production, and engineering teams to ensure smooth project progress. Follow up on procurement requests, material deliveries, and internal approvals to prevent project delays. Track project schedules, milestones, and deliverables, and provide regular progress updates. Support QC and ITP-related activities by coordinating inspections and monitoring required documentation. Create item codes and update BOMs, routings, and cost data in ERP and Salesforce as part of project coordination activities. Review and verify drawings and documents for completeness and accuracy before submission. Follow up on inspection reports and document approvals to ensure timely closure. Participate in project meetings and prepare minutes, action lists, and follow-up reports. Coordinate with clients for document submissions, clarifications, and proposal-related queries when required. Escalate bottlenecks, delays, and resource constraints to the Line Manager for timely resolution. Prepare weekly and monthly project progress reports and maintain all project logs and trackers. Support workflow improvements and process optimization activities within the project team. Ensure adherence to internal processes, procedures, and quality standards at all project stages. Maintain clear communication with internal teams to ensure alignment on project deliverables and proposal commitments. Desired Candidate Profile Bachelor’s in engineering or Diploma (Mechanical) with at least 4 to 6 years of relevant proposal/project coordination experience Proven proposal/project coordination or management experience. Strong competency in CAD design tools (AutoCAD/REVIT/NAVIS). Solid piping design understanding with ability to interpret P&IDs and isometrics. Advanced Excel skills for data analysis, reporting, and tracking. Familiarity with MS Project or similar project management tools (preferred). Strong communication and stakeholder-coordination skills across international teams. Strong technical problem-solving capability with practical solution-oriented thinking. High attention to detail and accuracy in documentation and follow-ups.
