Project Documentation Coordinator
Job Description Roles & Responsibilities Establish and enforce comprehensive documentation standards and templates across all project phases to ensure consistency and quality. Manage the lifecycle of project documents, including creation, review, approval, distribution, and archival, ensuring traceability and accessibility. Develop and maintain a centralized, organized document repository, implementing robust version control and access management protocols. Facilitate effective communication and collaboration among project stakeholders regarding documentation requirements and progress. Generate regular reports on documentation status, risks, and adherence to standards for project management and stakeholders. Coordinate the review and approval process for all project documentation, ensuring timely feedback and resolution of discrepancies. Identify and implement process improvements for documentation management to enhance efficiency and reduce errors. Provide training and support to project teams on documentation tools, standards, and best practices. Ensure all project documentation complies with regulatory requirements, industry standards, and organizational policies. Conduct periodic audits of project documentation to verify accuracy, completeness, and adherence to established guidelines. Desired Candidate Profile Bachelor's degree in a relevant field such as English, Communications, Business Administration, or a related technical discipline. Proven experience, typically 3-5 years, in project documentation, document control, or a similar administrative support role. Familiarity with project management methodologies (e.g., Agile, Waterfall) and their associated documentation needs. Proficiency in document management systems (e.g., SharePoint, Confluence, Documentum) and collaboration tools (e.g., Microsoft Teams, Slack). Exceptional attention to detail and a commitment to accuracy in all documentation tasks. Excellent written and verbal communication skills, with the ability to clearly articulate complex information. Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously. Ability to work independently and collaboratively within a team environment, adapting to changing project demands. Relevant certifications such as Certified Document Control Professional (CDCP) or PMP are advantageous. Fluency in English; proficiency in additional languages may be preferred depending on project scope and location.
