Technical Administrator
Job Description Roles & Responsibilities Job Summary We are looking for a highly organized and multitasking Technical Administrator to support technical drafting, document control, administration, HR coordination, fleet tracking, cost control, and overall office operations. The ideal candidate should be detail-oriented, proactive, and capable of handling multiple responsibilities in a fast-paced environment. Key Responsibilities 1. Drafting & Technical Support Prepare, modify, and update AutoCAD drawings Maintain and control all technical drawings and revisions Prepare shop drawings, as-built drawings, and project documentation Coordinate with project teams for drawing submissions and updates Ensure compliance with project and company standards 2. Document Control Manage document control system across departments Register, track, distribute, and archive documents Maintain logs for drawings, RFIs, submittals, contracts, and correspondence Ensure proper version control and easy retrieval of documents Prepare document status reports 3. Administration & Operations Handle daily office administration and operations Manage office supplies, inventory, and procurement Monitor operational expenses and maintain records Coordinate with vendors and suppliers Maintain filing systems and prepare monthly reports 4. HR & Employee Administration Maintain employee records and personnel files Track visas, Emirates IDs, labour cards, and renewals Monitor attendance and leave records Support onboarding and offboarding processes Assist recruitment from visa and costing perspective 5. Finance & Cost Control Support Track monthly expenses and operational costs Maintain records of visa, accommodation, transport, and other expenses Assist in budget preparation and cost analysis Coordinate with accounts for supporting documentation 6. Fleet & Asset Management Monitor vehicle registration, insurance, and maintenance schedules Track fuel usage and vehicle expenses Maintain asset and equipment records Coordinate servicing and repairs 7. Reporting & MIS Prepare reports using Microsoft Excel Maintain dashboards, trackers, and databases Generate weekly and monthly management reports Ensure accuracy of data and reporting Requirements Diploma / Bachelor’s degree in Engineering, Business Administration, or related field 3–5 years of relevant experience in drafting, document control, and administration Strong proficiency in AutoCAD Advanced Excel, Word, and Outlook skills Knowledge of UAE HR and visa processes preferred Experience in construction / engineering / manufacturing industry preferred Strong organizational and multitasking abilities Excellent communication and documentation skills Desired Candidate Profile The ideal candidate should be a highly organized, detail-oriented, and proactive professional capable of handling multiple responsibilities across technical, administrative, and operational functions. Should have strong exposure in AutoCAD drafting, document control, and office administration, preferably within construction, engineering, or manufacturing environments. Must be comfortable managing end-to-end documentation workflows, including drawings, RFIs, submittals, contracts, and correspondence with strong version control discipline. Should have hands-on experience in HR coordination and UAE administrative processes, including visa tracking, Emirates ID, labour card management, attendance, and employee records. Strong ability to manage inventory, fleet operations, fuel tracking, and asset management efficiently. Must possess strong Excel and reporting skills for MIS reports, dashboards, expense tracking, and management reporting. Should demonstrate ability in cost monitoring, budget tracking, and expense analysis with attention to accuracy. Excellent communication, coordination, and documentation skills are essential. Ability to work independently with minimal supervision in a fast-paced, high-pressure environment. Must be reliable, adaptable, and capable of multitasking effectively while meeting deadlines.
