Job Description Roles & Responsibilities Job goal : Responsible for the overall crewing process involving recruitment, logistics and management of all seafarers onboard the vessels managed by the company. Management of crewing process involving recruitment, contracts, logistics, payroll, rotations, training, performance, appraisals, discipline etc of crew to support company’s operations. Compliance to quality process standards such as ISM & ISO 9001. Lead crewing team and responsible for their supervision & guidance. Management of crewing budget. Meet department KPIs for crewing as set by the management. This is an office based role, but there may be occasional needs to visit company’s vessels to interact with crew, visit manning agents for audits & inspections etc. Key Responsibility Areas (KRAs) : Responsible to ensure that the vessels managed by the company are sufficiently manned with qualified crew all the time, in compliance with rules, regulations and project specific requirements. Develop and maintain a high-quality crewing pool through careful selection, development and performance screening. Work closely with operations & technical team to ensure that selected crew operates and maintains the vessel effectively and efficiently to ensure asset integrity and minimize downtime. Oversee crew planning, rotation and retention for best performance, crew welfare and cost efficiency. Ensure that crewing budget is strictly met. Depletion and variances shall be monitored andreported promptly for internal action. Manage crew payroll, crew wage scales and efficient disbursements. Manage efficiency of the crewing process leveraging software platforms. Contribute towards continuous improvement of crewing process. Ensure compliance to ISM and ISO process of the company. Perform internal and external audits related to crewing as required. Keep track of new and emerging crewing regulations related to IMO and individual flag states, advise impacts to management and drive implementation if required. Assist in preparation & management of budgets and cost estimates. Maintain good relationships with seamen’s unions, manning agents, regulators etc to get priority access to quality crew. Implement strategies to achieve cost efficiency from agencies, travel agents, hotels, manning agents, medical institutions and other third-party service providers. Co-ordinate with P&I clubs for crewing related insurance claims. Work closely with operations & technical team and charterers if required to handle all crew disciplinary issues. Monitor and report crewing performance of the fleet regularly and meet all crewing KPIs set by the management from time to time. Preparation of various management reports related to crewing for top level decision making and strategizing. Communicate with masters of ships, operation & technical teams to clarify crewing matters and flag up all potential problems in general. Work collaboratively with other departments to support and develop company’s business. Work closely with finance department to check agency invoices, disbursements, incorrect billings etc and follow up with agents for corrective actions. Overall responsibility for appraisals, training and monitoring of crew performance. Evaluate promotion of crew by working closely with operation and technical team. Key Performance Indicators : 1. Crew disciplinary frequency (Absconding, offences, drugs & alcohol, dismissal, warnings, etc.)– Zero incidents 2. Crew planning – Zero unplanned delays in replacements 3. Crewing budget performance – 100% within agreed budgets 4. Crewing deficiencies during audit – Zero or minor NCs 5. Noncompliance to ISM – Zero Desired Candidate Profile University degree from a recognized institution with minimum 15 years of experience in handling crewing in a shipping company (Relaxation in academic qualifications will be considered for candidates with exceptional track record and experience). Excellent communication (both spoken & written), negotiation, interpersonal and relationship management skills. Leadership & management skills to develop and maintain a high efficiency team. Proficient in popular digital technologies and essential software such as MS office packages. Knowledge & experience in ship management software will be a plus.
