Job Description Roles & Responsibilities Orchestrate all preventive and corrective maintenance activities across a diverse real estate portfolio, ensuring minimal disruption to tenants and operations. Develop and implement comprehensive maintenance schedules and budgets, meticulously tracking expenses and identifying cost-saving opportunities. Source, vet, and manage relationships with external vendors and contractors, negotiating contracts and ensuring adherence to quality standards and timelines. Oversee the efficient dispatch and coordination of in-house maintenance staff, prioritizing urgent requests and managing workload effectively. Conduct regular site inspections to assess property conditions, identify potential issues, and proactively plan necessary repairs or upgrades. Maintain accurate and detailed records of all maintenance work, including service requests, work orders, and inspection reports, utilizing property management software. Respond promptly and professionally to tenant inquiries and complaints regarding maintenance issues, providing timely resolutions and clear communication. Ensure compliance with all relevant building codes, safety regulations, and environmental standards across all managed properties. Collaborate with property managers and leasing agents to facilitate smooth move-ins and move-outs, ensuring properties are in optimal condition. Manage inventory of maintenance supplies and equipment, reordering as needed and ensuring proper storage and utilization. Desired Candidate Profile Associate's or Bachelor's degree in Facilities Management, Real Estate, Business Administration, or a related field. Minimum of 3-5 years of proven experience in property maintenance coordination, preferably within the real estate sector. Certification in Facilities Management (e.g., CFM) or relevant trade certifications is a significant advantage. Demonstrated experience working with diverse property types, including residential, commercial, or industrial. Proficiency in property management software (e.g., Yardi, AppFolio) and general office productivity suites. Exceptional organizational and time-management skills, with the ability to multitask and prioritize effectively in a fast-paced environment. Strong communication and interpersonal skills, capable of building rapport with tenants, vendors, and internal teams. A proactive and problem-solving mindset, with a keen eye for detail and a commitment to quality. Familiarity with building systems (HVAC, plumbing, electrical) and general maintenance best practices. Ability to work independently and as part of a team, demonstrating reliability and a strong work ethic.
