Job Description Roles & Responsibilities oversee the daily corporate infrastructure, cross-departmental workflows, and supply chain distribution mechanisms. This pivotal role ensures peak organizational efficiency by driving administrative strategy, optimizing resource allocation, and supervising vendor networks and inventory lifecycles. The ideal candidate is a highly organized, solution-oriented leader who can balance back-office stability with complex, agile logistics management. Administrative Management Formulate and implement corporate administrative policies and standard operating procedures. Oversee comprehensive facility management, space planning, security protocols, and office maintenance. Manage the administrative budget, authorize departmental expenses, and identify cost-saving initiatives. Supervise administrative teams, managing their hiring, training, and performance reviews. Ensure strict compliance with legal, health, safety, and data protection regulations. 2. Operational Support Serve as the primary liaison between internal departments to unify workflows and resolve roadblocks. Design and integrate new operational systems that scale and boost business-wide productivity. Direct complex cross-functional projects, including digital system migrations or office relocations. Track operational metrics and generate monthly performance reports for senior executive review. Coordinate executive travel management, critical meeting itineraries, and corporate event planning. 3. Logistics and Supply Chain Direct end-to-end logistics operations, including domestic transport, customs clearance, and delivery fulfilment. Govern warehouse inventory control using digital management systems to prevent shortages. Negotiate service level agreements and master contracts with 3PL providers and shipping vendors. Optimize distribution routes and fleet utilization schedules to lower freight overhead costs. Audit shipping documentation, customs filings, and commercial invoices for complete compliance. 3. Asset Management & Equipment · Inventory Control: Maintain accurate digital records and physical tags for all company machinery, tools, and hardware. · Lifecycle Planning: Oversee the acquisition, deployment, regular servicing, and safe disposal of old equipment. · Maintenance Tracking: Schedule proactive repairs and routine checkups to reduce unexpected machine downtime. · Vendor Coordination: Negotiate pricing, service contracts, and warranties with external suppliers. · Compliance & Auditing: Conduct regular physical stock counts and maintain safety or regulatory standards 4. Fleet Management & Transportation, Warehouse Management, Manpower Deployment & Workshops. Fleet Control: Monitor vehicle tracking, maintenance schedules, and route efficiency. Warehouse Duties: Oversee inventory levels, goods receiving, and safe storage practices. Manpower Management: Assign daily shifts, deploy drivers, and schedule workshop mechanics. Workshop Oversight: Supervise repair jobs, manage spare parts, and enforce safety rules. Desired Candidate Profile Minimum Requirement (Education &Experience) Degree: Masters / bachelor’s degree in business administration, Logistics, Supply Chain Management, or equivalent. Experience: 8 to 15 years of proven managerial experience spanning office operations and supply chain logistics. Certification: Professional credentials like Certified Logistics Manager (CLM) or Lean Six Sigma are highly valued. Skills & Competencies Software: High proficiency with Enterprise Resource Planning (ERP) tools, Warehouse Management Systems (WMS), and Transport Management Systems (TMS). Productivity: Mastery of advanced spreadsheet functions and data reporting suites. Leadership: Exceptional capabilities in mentoring remote or multi-disciplinary staff teams. Negotiation: Demonstrated success in structuring high-value vendor and supplier contracts. Communication: Refined verbal and written interaction skills across all corporate seniority tiers.
