Workshop Administrator
Job Description Roles & Responsibilities Support the daily administrative operations of the workshop to ensure smooth workflow and operational efficiency. Maintain and update workshop documentation, job cards, and system records accurately. Monitor job card status and ensure timely updates within SAP, EVHC, or other workshop management systems. Track vehicle movement through reception, workshop, quality control, and delivery stages. Assist in coordinating activities between Service Advisors, Technicians, Parts Department, and Workshop Management. Prepare and distribute daily operational reports, vehicle status reports, technician allocation reports, and KPI dashboards. Maintain accurate records of workshop activities, approvals, and service documentation. Support workshop management in monitoring workshop utilization, productivity, and operational performance. Ensure compliance with Aftersales operational processes and documentation standards. Provide administrative support to improve workflow efficiency and customer service delivery. Desired Candidate Profile Strong administrative and organizational capabilities. Understanding of automotive service and workshop operations. Excellent coordination and communication skills. Strong attention to detail and data accuracy. Ability to manage multiple priorities in a fast-paced environment. Proficiency in workshop management and reporting systems. Strong reporting and documentation management skills. Ability to work effectively with cross-functional teams. Good problem-solving and planning skills. Strong Microsoft Office skills, particularly Excel and Outlook. What equips you for the role: Diploma or Degree in Business Administration, Automotive Management, or a related field. 2–3 years of experience in workshop administration, service operations, automotive coordination, or a similar administrative role. Knowledge of automotive workshop processes and vehicle service operations. Experience working with workshop management systems such as SAP, EVHC, or similar platforms. Strong administrative, reporting, and data management skills. Excellent verbal and written communication skills. Proficiency in Microsoft Office (Excel, Word, Outlook). Strong attention to detail and ability to maintain accurate records. Ability to work under pressure and meet deadlines. Self-motivated, proactive, and able to work effectively within multicultural teams.
