Officer-Freight & Exports Logistics

Job Description Roles & Responsibilities A. Export Freight & Shipment Coordination Manage end-to-end export shipments for flexible packaging products. Coordinate FCL/LCL, sea freight, air freight and road freight shipments as required. Obtain freight quotations from freight forwarders and shipping lines. Compare freight rates, transit times and service levels and recommend suitable options. Arrange container bookings based on shipment requirements. Coordinate container availability, loading schedules and dispatch. Monitor vessel schedules, ETD, ETA and transshipment details. Track shipments until delivery at the destination. Follow up with freight forwarders, shipping lines and transporters to ensure timely movement of cargo. Escalate shipment delays, documentation issues or operational problems to the Logistics Manager. B. Export Documentation Prepare, verify and coordinate export shipping documents including: Commercial Invoice Packing List Certificate of Origin Bill of Lading (B/L) Shipping Instructions Delivery Order, where applicable Export Declaration VGM Certificate/other customer-specific documents Review draft B/Ls and coordinate corrections before final release. Ensure all export documents are accurate and submitted within required timelines. Coordinate with customers and overseas agents regarding documentation requirements. Maintain complete shipment files and records for audit and future reference. C. Freight Forwarder & Shipping Line Coordination Maintain regular communication with nominated and approved freight forwarders. Coordinate with shipping lines for vessel schedules, bookings and container availability. Negotiate/obtain competitive freight rates where applicable. Monitor freight forwarder performance and service levels. Verify freight invoices against agreed quotations and shipment details. Coordinate resolution of freight discrepancies, additional charges and claims. Monitor potential demurrage, detention and storage charges and take preventive action. D. Customs & Clearance Coordination Coordinate with customs clearance agents for export clearance. Ensure all documents required for customs clearance are available on time. Follow up on customs declarations, inspections and shipment release. Coordinate with transporters for container movement and gate-in/gate-out activities. Ensure compliance with UAE export procedures and company requirements. E. Internal Coordination Coordinate with Sales/Customer Service regarding shipment requirements and customer delivery schedules. Coordinate with Production & Planning to confirm production readiness. Coordinate with Warehouse for finished goods availability, picking and loading. Coordinate with QA/QC for quality-related export documentation where required. Coordinate with Finance regarding freight invoices, customer documentation and shipment-related payments. Ensure shipment plans are aligned with customer commitments. F. Container Loading & Dispatch Coordinate container allocation and loading schedules with the warehouse team. Ensure correct quantity, product specifications and packing details before dispatch. Verify container numbers, seal numbers and loading details. Ensure loading documentation is completed accurately. Coordinate timely dispatch of containers to the port/terminal. Maintain records of container and shipment details. G. Shipment Tracking & Reporting Maintain an updated Export Shipment Tracker covering: Customer Destination Shipment/Order No. Container No. Container Size Vessel Name ETD / ETA Freight Forwarder Shipping Line BL No. Shipment Status Provide regular shipment status updates to management and concerned departments. Prepare weekly/monthly logistics and export freight reports. Monitor freight costs and identify opportunities for cost optimization. Qualifications & Experience Bachelor's degree in Logistics, Supply Chain Management, International Business, Commerce or a related field. 5–8 years of experience in logistics/freight/export operations. Experience in a manufacturing/export environment is preferred. Experience in the flexible packaging, plastics, FMCG or related manufacturing industry will be an advantage. Strong hands-on experience in export freight and sea shipment coordination. Good knowledge of UAE export procedures and documentation. Experience dealing with freight forwarders, shipping lines, transporters and customs clearance agents. Technical Skills Strong knowledge of export logistics and freight forwarding. Good understanding of Incoterms and international shipping procedures. Knowledge of FCL/LCL and container shipment processes. Good understanding of B/L, VGM, Shipping Instructions and export documentation. Strong MS Excel and MS Office skills. Experience with ERP/logistics systems is preferred. Ability to prepare and maintain shipment trackers and MIS reports. 6. Behavioral Competencies Strong coordination and communication skills. Excellent attention to detail. Desired Candidate Profile The ideal candidate should have hands-on export freight experience in a manufacturing company, preferably with exposure to flexible packaging or similar industrial products. The candidate should be capable of independently managing export shipments from booking and documentation through container loading, customs clearance, dispatch and shipment tracking.
